Email Signature

Here is an option for reinforcing a consistent image externally for those of you working in Outlook 2003 or 2007. See the instructions below. If you prefer to go without the logo option, consider this a good model for the hierarchy of information in your email signature.

Below is the recommended Johnson School email signature.

Instructions for creating your own Johnson School email signature in Outlook 2007 (for 2003, see below)

To use our standard signature in Outlook, you must be using the Outlook desktop client. While Outlook Web Access supports signatures as you can see by selecting Options in the left pane, it doesn't support graphics in signatures.

  1. In the main Outlook window select TOOLS/Options/Mail Format/Signatures/New/enter a signature name.
  2. Copy and paste one of the signature formats below.
  3. Modify the signature to provide your information [If you see extra lines when you paste your selected signature, delete them. To prevent extra lines when adjusting the signature, hold the shift key down and press Enter.]
  4. Press OK.
  5. Select the name of the signature in the pull-down menu in the upper right-and corner for New messages and/or Replies/forwards.
  6. Start a new mail message, File/New Mail Message and your newly created signature will appear. Enter your message above it.

From this point on, all new messages you create will contain your new signature.

Every time you create a new message, this signature will be displayed. It's recommended when sending messages internally, you delete your signature. Or, turn your signatures off and press Insert Signature and select the signature you want for the message you are sending.

To use our standard signature in Outlook, you must be using the Outlook desktop client and use Word as your editor (which is the default). While Outlook Web Access supports signatures as you can see by selecting Options in the left pane, it doesn't support graphics in signatures.

Check to see if Word is your Editor: Select TOOLS/Options/Mail Format.

Make sure the box is checked for using Word as your editor.

  1. In the main Outlook window select TOOLS/Options/Mail Format/Signatures/New/enter a signature name/Advanced Edit [This opens a Word document.]
  2. Copy and paste one of the signature formats below.
  3. Modify the signature to provide your information [If you see extra spaces when you paste your selected signature, delete them. To prevent extra spaces when adjusting the signature, hold the sift key down and press Enter.]
  4. Press the X in the upper-right and select Save and OK [Ignore the error message you may receive.]
  5. Select the name of the signature in the pull-down menu
  6. Start a new message, File/New Mail Message
  7. Click the down-arrow next to Options and select Stationery
  8. Press the Theme button and select No Theme.
  9. Press OK twice.

From this point on, all new messages you create will contain your new signature.

Every time you create a new message, this signature will be displayed. It's recommended when sending messages internally, you delete your signature.

One last "Microsoft" caveat:

There are known problems when using graphics in Outlook signatures that vary among computer systems. If you run into difficulty when setting up your signature, stop by the HelpDesk and see if we can find a work around. Also, note that different Email clients will result in a different look to your signature on the receiving end. Fonts and spacing may change and the graphic might not appear.
